JAMIE ALLAN FOOTBALL ACADEMY Terms & Conditions By enrolling in any Jamie Allan Football Academy programme, session, event, camp or service, you agree to the following Terms & Conditions. 1. Definitions “Academy”, “we”, “us” and “our” refer to Jamie Allan Football Academy. “Participant” refers to the player attending sessions. “Parent/Guardian” refers to the person responsible for the participant’s registration and payment. “Membership” refers to any recurring monthly programme. ⸻ 2. Registration 2.1 All participants must complete the required registration process before attending sessions. 2.2 Parents/guardians must provide accurate medical, emergency contact and personal information. 2.3 It is the parent’s responsibility to notify the Academy of any changes to medical conditions, injuries, allergies or emergency contact details. ⸻ 3. Payments Monthly Programmes 3.1 Membership fees are paid monthly in advance. 3.2 Payments are collected automatically via the agreed payment method. 3.3 Failure to make payment may result in suspension from sessions until payment has been received. 3.4 The Academy reserves the right to refuse participation where outstanding balances exist. One-to-One Sessions 3.5 Individual sessions must be paid for before or on the day of the session unless otherwise agreed. 3.6 Block bookings and development packages must be paid according to the agreed payment plan. Camps, Events & Showcase Games 3.7 Full payment is required before attendance unless an alternative arrangement has been agreed. 3.8 Places are not guaranteed until payment has been received. ⸻ 4. Cancellation & Rescheduling Policy One-to-One Sessions 4.1 A minimum of 24 hours’ notice is required to cancel or reschedule a session. 4.2 Sessions cancelled with less than 24 hours’ notice will be charged in full. 4.3 Sessions may be rescheduled with sufficient notice and subject to availability. 4.4 Booking times may be changed upon request for any reason, subject to coach and facility availability. Group Sessions 4.5 Missed group sessions cannot be refunded. 4.6 Where space permits, the Academy may offer an alternative session, although this is not guaranteed. ⸻ 5. Membership Cancellation 5.1 Memberships operate on a rolling monthly basis. 5.2 A minimum of 14 days’ written notice is required to cancel, pause or change a membership plan. 5.3 Notice must be submitted by email, WhatsApp or another approved communication method. 5.4 Membership fees remain payable during the notice period. 5.5 Failure to attend sessions does not constitute cancellation. ⸻ 6. Academy Cancellation Policy 6.1 If a session is cancelled by the Academy due to weather, facility issues, coach illness or circumstances beyond our control, we will: * Arrange a replacement session where possible; or * Provide a credit towards future sessions. 6.2 Refunds are not guaranteed for cancellations outside the Academy’s control. ⸻ 7. Behaviour & Conduct 7.1 Participants are expected to behave respectfully towards coaches, staff, teammates, opponents and facilities. 7.2 Bullying, discrimination, abusive language, violence or disruptive behaviour will not be tolerated. 7.3 The Academy reserves the right to remove any participant whose behaviour negatively impacts others. 7.4 No refund will be provided where removal results from misconduct. ⸻ 8. Parent & Spectator Conduct 8.1 Parents and spectators must support a positive learning environment. 8.2 Abuse towards coaches, staff, officials, participants or other parents will not be tolerated. 8.3 The Academy reserves the right to terminate membership where behaviour breaches these standards. ⸻ 9. Medical & Injury Disclaimer 9.1 Football and physical activity involve inherent risks including injury. 9.2 Participation is undertaken at the participant’s own risk. 9.3 Parents/guardians confirm the participant is medically fit to take part. 9.4 The Academy must be informed of any injury or medical condition that may affect participation. 9.5 Coaches may refuse participation if they believe attendance presents a risk to the participant or others. ⸻ 10. Emergency Medical Treatment 10.1 In the event of an emergency, the Academy may seek appropriate medical treatment for a participant. 10.2 Any associated medical costs remain the responsibility of the parent/guardian. ⸻ 11. Photography & Video 11.1 The Academy may take photographs and video footage during sessions, camps and events. 11.2 Images and footage may be used for: * Coaching feedback * Social media * Marketing * Website content * Promotional materials 11.3 Parents may request exclusion from marketing materials by notifying the Academy in writing. ⸻ 12. Player Development 12.1 While the Academy aims to maximise player development, no guarantees are made regarding: * Team selection * Professional contracts * Academy signings * Scholarships * Performance outcomes 12.2 Progress depends upon attendance, effort, commitment and external factors beyond the Academy’s control. ⸻ 13. Facilities & Equipment 13.1 Participants must wear appropriate footwear and clothing. 13.2 Shin pads are strongly recommended for football activities. 13.3 The Academy accepts no responsibility for loss, theft or damage to personal belongings. ⸻ 14. Force Majeure 14.1 The Academy shall not be liable for failure to deliver services due to circumstances outside its reasonable control, including: * Severe weather * Facility closures * Government restrictions * Natural disasters * Public health emergencies * Utility failures ⸻ 15. Data Protection 15.1 Personal information will be stored and processed in accordance with applicable UK data protection legislation. 15.2 Information will only be used for legitimate Academy purposes. 15.3 The Academy will not sell participant information to third parties. ⸻ 16. Liability 16.1 The Academy accepts no responsibility for injuries sustained where there has been no negligence by the Academy, its coaches or staff. 16.2 Parents/guardians accept the risks associated with participation in football and athletic activities. 16.3 Nothing within these Terms excludes liability where exclusion is prohibited by law. ⸻ 17. Amendments 17.1 The Academy reserves the right to update these Terms & Conditions at any time. 17.2 Participants and parents will be notified of any significant changes. ⸻ 18.
